Executive Secretary to the CEO

Job Functions:


Skill:

Administrative Support

  • Manage the CEOs calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare high-quality reports, memos, presentations, and correspondence.
  • Organize and maintain confidential files and documents.

Communication Management

  • Act as the first point of contact for internal and external communications on behalf of the CEO.
  • Screen and prioritize emails, calls, and requests.
  • Draft and proofread emails, reports, and meeting notes.

Coordination and Follow-up

  • Organize board and executive meetings, including preparing agendas and taking detailed minutes.
  • Liaise with internal teams and external stakeholders to ensure timely follow-ups on tasks and deliverables.
  • Oversee key projects and provide updates to the CEO.

Event Planning and Logistics

  • Arrange travel itineraries, accommodations, and event logistics for the CEO.
  • Coordinate participation in conferences, seminars, and public appearances.

Office Management

  • Ensure office supplies and systems are well-maintained.
  • Support the CEO in managing the administrative workflows of the office.

Job Requirements:

  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Additional certifications in secretarial studies or office management are a plus.
  • Minimum of 5 years of experience in an executive or administrative role, preferably in tech, startups, or multinational companies.
  • Proficiency in Microsoft Office Suite and cloud-based tools.
  • Strong organizational and time-management skills.
  • Exceptional verbal and written communication skills in English (Arabic is a plus).
  • Familiarity with project management tools like Click Up or Jira is desirable.
  • Discreet and professional in handling confidential matters.
  • High attention to detail and ability to multitask.
  • Proactive, resourceful, and able to work under pressure.
